Description

New to, or confused about online file storage and collaboration? This course aims to take the mystery out of managing your files online, how to set file permissions and you will have an understanding of online file management in SharePoint, Teams and OneDrive.

  • This is the Face to Face version of the Live Online course.

By the end of the course you will understand:

  • The difference between OneDrive, Teams and SharePoint
  • Should I save my files?
  • Who can see which files, where they are stored and file permissions
  • Checking out a file to prevent others editing it
  • Setting file permissions
  • Guest access to files
  • Various approaches to sharing files, e.g. in chat, Posts, via links
  • File management techniques such as renaming, moving / copying / recovering files in Teams / SharePoint
  • Version history and restoring previous versions of files
  • Q&A throughout the session
Objectives

By the end of this course, participants will be able to:

  • Understand File Storage Platforms
    • Distinguish between OneDrive, Teams, and SharePoint in terms of purpose, access, and collaboration.
    • Identify when to save files to OneDrive, Teams, or SharePoint based on audience, visibility, and lifecycle.
  • Navigate and Manage Files Effectively
    • Access and organize files from within Teams, SharePoint, and OneDrive.
    • Rename, move, copy, and delete files across platforms.
    • Restore deleted files and recover previous versions.
  • Collaborate and Share Securely
    • Share files from Teams chats and channels using links or attachments.
    • Set appropriate file sharing permissions, including for external users and guests.
    • Understand file access in private channels and meetings.
    • Use file checkout to manage editing conflicts.
  • Integrate and Migrate Content
    • Add shortcuts to shared folders from SharePoint and Teams into OneDrive.
    • Migrate files and folders from Google Drive to SharePoint and OneDrive.
    • Create a new Team from an existing SharePoint site.
  • Apply Best Practices for Security and Accessibility
    • Follow information security best practices when working remotely.

What we expect from participants

  • Please arrive at least 15 minutes before the start time to avoid disruptions.
  • Participants are expected to actively engage with the lesson and the trainer and there will be activities to do.
  • PC’s are provided in our training rooms but if you wish to bring and use your own laptop you can do.
  • Feel free to ask questions at any time.
  • We welcome your interaction throughout the course. Your contribution will enhance your own experience as well as that of others. Thank you.
